What does Homeroom send Providers?

Many organizers have asked us what automatic notifications are sent to providers. Below outlines the information we send to them.

Providers

Onboarding
  • Welcome to Homeroom: A welcome email with a link to schedule a call with our team if they have questions about Homeroom
  • Provider Activity Invite: An invitation to the provider to complete the activity request sent by the organizer
    • Activity Request Reminder: A reminder to complete the activity request sent by the organizer
Activity Information
  • Assign Instructor: Reminder to providers to assign instructors to any upcoming activities 
  • Upcoming Activity Summary: Sent to assigned instructors reminding them: 
    • The date the activity starts
    • The address and room of the activity
    • The start and end time 
    • No activity days
    • A link to school policies, which includes information like student pick up information and student dismissal process 
  • Take Attendance: Sent 15 minutes prior to the activity starting for the day with a link to the roster and attendance link
  • No Activity Day Reminders: Sent to assigned instructors reminding them about any "no activity" days for the upcoming week
Enrollment Open
  • Enrollment Updates: Daily summary around new enrollments in each activity 
  • Enrollment Capacity Reached: Notification that an activity has hit the maximum capacity and the waitlist is now open
  • Waitlist Promotion Accepted: A family has enrolled in the activity after being invited off the waitlist
    • Waitlist Promotion Declined: A family has declined to enroll in the activity after being invited off the waitlist
    • Waitlist Promotion Expired: A family has not responded to the invitation to enroll in the activity within 24 hours and providers can opt to offer the spot to another family or re-invite the same family. 
Account Management
  • Compliance Incomplete: A provider has not completed the required compliance to teach an activity at a specific school
    • Compliance Expired: A provider has an expired compliance document and must upload an updated one
  • Payout Date: Notification that the organizer has changed the payout date for the hosted activity 
  • Team Member Invite: Invitation for other team members to join the provider's company account 
  • Bank Account Missing: Notification that the provider needs to setup a bank account for Homeroom to deposit their money into
    • An Issue with Your Bank Account: Notification to update account to avoid payout delays 
  • Overdue Balance: Provider issued a refund without funds available. Homeroom covers the difference and still ensures families receive their funds timely. 
    • Overdue Balance Reminder: Reminder to provider to add funds to cover their debt.
